We are seeking a detail-oriented and organized Office Administration Assistant to join our team. In this role, you will be responsible for providing administrative support to ensure efficient operation of the office. Your primary duties will include handling phone calls, managing calendars, making travel arrangements, and preparing reports. The ideal candidate is proficient in Microsoft Office, has strong communication skills, and is able to multitask effectively.
Responsibilities
- Answer and direct phone calls in a polite and friendly manner.
- Organize and schedule appointments.
- Plan meetings and take detailed minutes.
- Write and distribute email, correspondence memos, letters, faxes, and forms.
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a filing system.
- Order office supplies and research new deals and suppliers.
- Maintain contact lists.
- Book travel arrangements.
- Submit and reconcile expense reports.
- Provide general support to visitors.Requirements
- Proven experience as an office administrator, office assistant, or relevant role.
- Proficiency in MS Office (MS Excel and MS Outlook, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multi-task.
