Job Description:

The Medical Administrator at West Heath Surgery serves as the primary point of contact for patients, facilitating communication between patients, doctors, and medical staff.

Responsibilities:

  • Reception:
  • Greet and direct patients
  • Handle telephone and general inquiries
  • Schedule appointments and home visits
  • Take messages and manage patient communication
  • Maintain tidiness in work areas
  • Handle cash transactions
  • Arrange appointments for medical representatives
  • Prepare refreshments

Administrative Tasks:

  • Perform administrative workflow tasks using clinical systems
  • Assist with data entry and patient record-keeping, including scanning
  • Support onward patient management, such as booking appointments and referrals
  • Provide chaperone assistance to clinicians as needed
  • Offer administrative support to clinicians and managers

Communication:

  • Deliver excellent customer service to patients
  • Foster effective teamwork among staff
  • Identify and address problems and solutions promptly

Special Requirements:

  • Adherence to strict confidentiality protocols

Experience:

  • Previous office environment experience
  • Prior experience as a medical receptionist
  • Familiarity with EMIS Web software

Qualifications:

  • GCSE English or equivalent Grade C or above
  • RSA II typing/word processing or equivalent

Skills:

  • Proficiency in reading, writing, and speaking English
  • Strong organizational skills with accuracy in record-keeping
  • Ability to work independently and prioritize tasks
  • Excellent customer service and interpersonal skills

Knowledge:

  • Proficiency in Microsoft Word
  • Understanding of confidentiality and Data Protection Act
  • Familiarity with the local area
