Full job description:
Summerhill Services Limited is seeking a self-motivated and customer-focused individual to join their team as a Facilities Administrator. This role involves providing comprehensive administrative support to the Facilities Department, including operating a virtual helpdesk and reporting to the Admin Manager. Summerhill Services Limited partners with Birmingham and Solihull Mental Health Foundation Trust to deliver facilities management, transport, and support services across the West Midlands.

Key Responsibilities:

  • Undertaking administrative duties such as producing letters, databases, spreadsheets, and reports.
  • Handling general office tasks like filing (electronic and hard copies), photocopying, and managing emails.
  • Receiving incoming calls, taking messages, and directing inquiries appropriately.
  • Balancing petty cash and processing invoices in line with finance processes.
  • Maintaining stock, obtaining quotations, and placing orders with suppliers.
  • Reporting and issuing reactive work requests via computer systems.
  • Arranging meetings, distributing paperwork, and making room bookings.
  • Taking notes/minutes/action points at meetings and distributing them promptly.
  • Collecting, collating, and inputting routine data into designated reports/spreadsheets.
  • Maintaining information boards with up-to-date and relevant information.
  • Helping produce monthly and quarterly dashboard reports and contribute to statutory returns.
  • Developing and maintaining effective filing, retrieval, and bring-forward systems.
  • Communicating effectively with personnel at all levels and maintaining good working relationships.
  • Undertaking any other administrative duties applicable to the post.

Training and Development:

  • On-the-job training will be provided for all aspects of the job.
  • Participation in Summerhill Services Limited’s annual development process and identifying own training needs.
  • Regular Management Supervision (RMS) sessions and one-to-one meetings bi-monthly.
  • Attendance of statutory and mandatory training as required.
  • Undertaking any appropriate training associated with the job.

Additional Information:

  • All roles are subject to successful disclosure from the Disclosure and Barring Service (DBS), satisfactory reference checks, qualifications’ checks, occupational health checks, and mandatory training.
  • Compliance with government legislation regarding Covid-19 vaccination may be required for roles with face-to-face contact with patients or service users.
